How Do I Keep a Record of Important AI Work?

If AI helps you create something important, keep a short note explaining what happened. This helps you or someone else check the work later.

The practical point

You do not need to save every chat message. Keep the details that explain the task, the source information, the human checks and the final approval.

1 Step 1

Write down the task

State what you were trying to produce or decide. A clear task note stops the record turning into a vague comment such as “AI helped with this”.

2 Step 2

Name the main sources

List the documents, web pages, notes or data that mattered most. Include dates or version names where they affect the result.

3 Step 3

Say what AI did

Record whether AI made a first draft, grouped feedback, suggested wording, summarised material or checked for gaps.

4 Step 4

Record important human changes

Write down changes to facts, conditions, promises, ownership, dates or approval wording. These are the changes someone may need to understand later.

5 Step 5

Separate checking from approval

Name who checked the work and who approved it. Keep those separate if they were different people.

Question Example answer
What was created? A guide to the new booking process
Why? To help customers complete the new form
Main source Approved process document dated 10 July
What did AI do? Made the first structure and draft
What did a person change? Added the manager approval condition
Who checked it? Editor checked sources and links
Who approved it? Content manager
What good looks like

Someone reading the note later can understand what the work was for, what information was used, what a person changed and who accepted the final result.

Prompt you can copy
Create a short record of this important AI-assisted task. Include the purpose, main sources, what AI did, important human changes, checks completed and who approved the result. Do not claim that AI checked or approved anything unless the notes show that a person did it.
